Data Workspaces Overview
Use this overview to understand how the Data Entry and Quality Score Entry workspaces fit together. Both pages rely on the same selectors, locking rules, and review cycle so you can move between quantitative service validation and quality scoring without relearning the basics.

When to use each workspace
Both pages open the same selector bar and availability banner, but they capture different types of results. Use this table to decide where to start and what records you will update.

Tip: Complete Data Entry before Quality Score Entry when possible so payment teams can review service volumes and quality results together.
Shared selectors and dependencies
- Dataset – Shows datasets relevant to your current workspace (data entry datasets for Data Entry, quality score datasets for Quality Score Entry). Switching datasets automatically resets the organisation unit and period selectors to prevent metadata conflicts.
- Organisation Unit – Shows facilities assigned to the dataset and to your user. The tree, search, and breadcrumbs behave identically across both pages.
- Period – Activates after dataset and organisation unit are chosen. It respects the dataset’s period type and expiry rules, only showing completed periods that are still eligible for editing.
- Availability Badge – Displays Active, Expiring Soon, Expired, or Lock Exception states above the grid. These statuses control whether the action buttons are enabled in either workspace.

What the badge states mean
- Active – Editing is fully available.
- Expiring Soon – The grace window is closing; finish updates quickly.
- Expired – All action buttons change to locks until an administrator grants an exception.
- Lock Exception – A temporary extension allows edits beyond the normal deadline. The banner explains who approved it and for how long.
These rules apply equally to Data Entry and Quality Score Entry, so always confirm the status before spending time in the grid.
Core workflow steps
The journey into either workspace follows the same pattern. Once you learn this sequence you can reuse it without thinking.
From the navigation menu choose Data Entry or Quality Score Entry. Both pages load the selector bar and show a spinner until metadata is ready.
Use the dropdown to search by name or ID. The period type and expiry details appear under each option so you can double-check before continuing.
Browse the tree or use the search box to locate your facility. Units not linked to the dataset or your user permissions remain hidden or disabled.
Navigate by year with the arrow buttons, then pick a completed period. The grid loads automatically once all selectors are set.
Confirm that the dataset has tariffs (for Data Entry) or max scores (for Quality Score Entry). If the configuration is missing, the grid stays hidden and a message explains what to fix.

Editing tools you will recognise
- Row controls – Both tables use Set/Edit, Save, and Cancel buttons on each row. When you click Edit All, every row unlocks at once so you can work in bulk.
- Validation feedback – Red toasts, inline error text, and alert banners highlight problems without leaving the page. Rows stay in edit mode until the issue is fixed.
- Automatic totals – Each workspace calculates grand totals at the bottom of the grid (payout amounts in Data Entry, aggregate scores in Quality Score Entry) so you can reconcile before submitting.
- Lock icons – When the period expires, row-level buttons switch to locks across both pages. Lock exceptions restore the buttons temporarily.

Troubleshooting at a glance
- Nothing loads after selecting metadata – Double-check tariffs (Data Entry) or max scores (Quality Score Entry). Missing configurations block the table on both pages.
- Facility not listed – Confirm the organisation unit is assigned to the dataset and to your user permissions in Partner Assignments or DHIS2.
- Buttons are greyed out – The period is likely expired. Request a lock exception if you still need to edit either workspace.
- Numbers revert after saving – Another user may have submitted newer data. Refresh the page to pull the latest values before editing again.
